Facts that you should know about Dental Insurance


How Appointments Are Scheduled:

Appointments for preventative care are offered from 8:00 am to 4:00pm, Monday thru Thursday, and 8:00 am to 3:00 pm on Fridays. Appointments are available every 30 minutes. Due to the way our office is set up, we can see up to four patients at a time. We encourage families with preschool aged children to come earlier in the day, well before nap and/or mealtime.

Appointments for heavy restorative procedures (crowns, fillings, etc.) are scheduled in the morning. We find that children are more prepared, and typically more cooperative, in the morning for these types of appointments. Light restorative procedures will be completed between the hours of 1:30pm and 2:40 pm.

We are aware of school policies which make it difficult for children to be out of school for any reason. However, MEDICAL and DENTAL appointments are EXCUSED ABENCES with a doctor’s signature. Whenever your child visits our office during school hours, we will be happy to provide a signed note for your child stating he/she was in our office.  

Please plan to arrive five minutes before your scheduled appointment. This will allow time for you to complete any necessary paperwork.  

If you arrive ten minutes or more after your scheduled appointment time, you may be asked to reschedule or wait to see if we can fit you into the existing schedule. This is to ensure that patients who are on time to their scheduled appointments will not have to wait longer than needed.

Appointment Policy:

If your child is not able to keep their scheduled appointment, we ask to be notified at least 48 hours in advance.

If your child does not show up to a confirmed appointment OR if you cancel less than 48 hours two times in a twelve month period, you will receive a letter directing you to seek care for that child from a different practice.

However, if the reason you need to cancel less than 48 hours is due to an emergency or illness, that will be waived and will not count toward the appointment policy.

Your cooperation with these guidelines is greatly appreciated.

Financial Arrangements and Insurance Policy:

We welcome your family into our practice! Please know that we strive to make your child’s dental experience positive and pleasant by committing to the highest standard of dental care. In order to achieve these goals, we need your assistance and understanding of our financial policy.

Payment for professional services is due at the time dental treatment is provided. Every effort will be made to provide an estimated treatment plan which fits your timetable and budget, and gives your child the best possible care.

We accept all forms of payment including cash, check, Visa, Mastercard, Discover, American Express, HSAs, and Care Credit.


Our Office Policy Regarding Dental Insurance:

We are currently contracted with the following insurance companies: AHCCCS Policies, Delta Dental, Aetna PPO, Assurant PPO, Cigna PPO, Humana PPO, and Principal PPO. We provide a complimentary benefits check on all insurances, both in and out of network.

Our goal is to provide you with up-to-date insurance benefits prior to your appointment. Advising us of any changes to your insurance such as the name of the policy holder or change of employment (or if you are a new patient, completing the online Registration forms within 24 hours of making your appointment) will ensure that our team can verify your benefits before you arrive. We must have correct insurance information in order to obtain your benefits and to process your claim appropriately. Please understand that all insurance policies are different and contain various provisions and limitations.

We are not responsible for how your insurance company handles its claims or for what benefits they will pay on a claim. We can only give you an estimate on the cost of treatment based on the information that we have been given. We in no way guarantee what your insurance will or will not pay on each claim. Also, since we file the claim as a courtesy to you, we will not be held responsible for errors that may arise in the filing process.

If there is a difference between what your insurance will pay and what our fee for services are, we will collect that balance on the date of service. Again, we file dental insurance claims as a courtesy to our patients.

Facts you should know about Dental Insurance:

In an effort to help you understand your insurance policy and maximize your benefits, please note the following facts about dental insurance:

FACT #I - Dental Insurance is a contract between you, your employer, and the insurance company. My Kids’ Dentist is not a party to that contract.

FACT #2 - Dental Insurance is not meant to cover all fees. It is meant to be an aid to your investment in your child’s dental care. Many routine dental services are NOT covered by dental insurance plans.

Many consumers think that their insurance company will pay 90%-100% of all dental fees. This is not true! Most plans only pay between 50%-80% of the average of the total fee. The percentage paid is usually determined by how much you or your employer has paid for coverage or the type of contract your employer has set up with the insurance company.

FACT #4 - Usual, Customary, or Reasonable fees (UCR) is a term used by your insurance carrier and refers to an arbitrary amount the insurance company chooses to pay for procedures. It is not based on the average charge of practicing specialists in the area. Instead, it is the “allowable” amount they will reimburse so they can make a net of 20%-30% profit. Our fees are within the range of other pediatric dental offices in the area.

FACT #5 - Insurance companies will not release the exact amount they will pay for a procedure until the treatment is complete and the claim is submitted. They will only state the percentage of their fee schedule they will cover.
